Privacy Policy
This policy explains what information AdhereHR collects through our website and our HR, attendance, payroll and procurement platform (together, the “Service”), why we collect it, and the choices you and your organization have. It applies to visitors to adherehr.com and to organizations and individuals who use the AdhereHR application.
1. Who we are
AdhereHR (“AdhereHR”, “we”, “us”) provides HR, attendance, payroll, hiring and procurement software for businesses in Nigeria. When your employer or organization uses AdhereHR to manage its workforce, that organization is generally the data controller for employee information held in the Service, and AdhereHR acts as a data processor on its behalf. For account registration, billing and our own marketing activities, AdhereHR acts as the data controller. 2. Information we collect
Account and organization information
When you or your organization sign up, we collect your full name, work email address, organization name, role, and authentication details needed to sign you in securely.
Employee and workforce data
Where your organization uses the relevant modules, the Service processes:
- Attendance records, including check-in selfies and, where enabled, GPS location at check-in (“geofencing”);
- Leave, holiday and shift scheduling records;
- Payroll information, including salary, allowances, bank details for salary payment, and statutory deductions such as PAYE and pension;
- Hiring and recruitment data, such as applicant details, CVs and interview notes;
- Performance, task and onboarding/offboarding records;
- Procurement, inventory and company asset records.
Payment information
Paid subscriptions are processed by our payment partner, Paystack. AdhereHR does not store full card numbers or bank authentication details — these are handled directly by Paystack under its own privacy policy.
Technical and usage information
We automatically collect device and browser type, IP address, pages visited, and similar log data when you use our website or application, to keep the Service secure and working correctly.
3. How we use information
We use the information described above to:
- Provide, maintain and secure the Service, including signing you in and verifying attendance;
- Calculate payroll, PAYE and other statutory deductions on behalf of your organization;
- Process hiring workflows, leave requests, procurement and asset tracking;
- Process subscription payments and manage billing;
- Respond to support requests and communicate important service updates;
- Improve the reliability, security and usability of the Service;
- Meet our legal and regulatory obligations.
We do not sell personal information, and we do not use employee data collected through the Service for third-party advertising.
4. Our legal basis for processing
Where the Nigeria Data Protection Act, 2023 (“NDPA”) or another applicable data protection law requires a legal basis, we (or your organization, where it is the controller) rely on one or more of the following: performance of a contract with you or your organization, compliance with a legal obligation (such as PAYE and pension reporting), the legitimate interests of AdhereHR or your employer in running the business, and, where required — for example for selfie-based attendance or location tracking — your consent.
5. Selfie attendance and location data
Selfie images captured for attendance verification and GPS location captured for geofencing are used only to confirm attendance and are visible to your organization’s authorized administrators. Because this information can be sensitive, your organization should make sure employees are informed before these features are switched on, and should only enable geofencing and selfie attendance where it has a lawful basis, such as employee consent or a clear workplace policy, to do so.
7. International data transfers
Some of our hosting and infrastructure providers operate data centers outside Nigeria. Where information is transferred internationally, we take reasonable steps to ensure it continues to receive an appropriate level of protection, consistent with the requirements of the NDPA.
8. Data retention
We retain personal information for as long as your organization’s account is active, and afterwards for as long as needed to meet legal, tax, regulatory or accounting requirements, resolve disputes, and enforce our agreements. Your organization’s administrator can request deletion of workforce data it controls, subject to these requirements.
9. Security
We use technical and organizational measures — including encryption in transit, access controls, and role-based permissions — designed to protect information against unauthorized access, loss or misuse. No system is completely secure, and we encourage you to use a strong, unique password and to report any suspected security issue to us right away.
10. Your rights and choices
Subject to applicable law, you may have the right to access, correct, delete, restrict or object to our processing of your personal information, and to request a copy of it in a portable format. Where processing is based on consent, you may withdraw it at any time. If your data is held in the Service on behalf of an employer, please start by contacting your organization’s administrator, as they generally control that data; you can also reach us directly at hello@adherehr.com and we will route your request appropriately.
12. Children’s privacy
The Service is intended for business use by working-age adults and is not directed at children. We do not knowingly collect personal information from children.
13. Changes to this policy
We may update this policy from time to time to reflect changes to the Service or our legal obligations. We will post the updated version here with a new “Last updated” date, and where changes are significant, we will take reasonable steps to let you know.
